  • Set the schedule before preparing the rounds. Allow 15–20 minutes for registration, then add a clear start time, short breaks and enough time to verify each winning card before handing over a prize.
  • Prepare at least one reserve bingo card per 10 players, along with spare markers, pens and score pads. Keep them at the registration desk so replacements do not interrupt a round.
  • Test the bingo cage, balls, microphone and speaker at least 60 minutes before opening. Check spare batteries, extension cords and power strips at the same time, rather than discovering a problem during the first call.
  • Set up the room from the layout drawing: registration first, then tables and chairs, the presentation table, the prize table and clear sightlines to the caller. Put cards and markers on tables only after the seating plan is settled.
  • Finish food and drink setup before guests arrive. Chill drinks, fill thermos flasks and prepare the coffee and tea station 30–45 minutes beforehand, while keeping dietary information with the registration records.
