Bingo night checklist: what to arrange and when

A bingo night runs smoothly when the game materials, sound equipment and refreshments are ready before guests arrive. Start by confirming the date and venue, then settle the cards, prizes, rules and volunteer roles. In the final week, check registrations and dietary requirements, complete the shopping and collect every prize and piece of equipment. On the day, allow enough time to arrange tables, test the microphone and speaker, sort the cards and set up the coffee and tea station.

Tips

  • Confirm the bingo format, number of rounds and prize plan before sending invitations. This gives you the information needed for the cards, schedule and registration details.
  • Order or reserve prizes and bingo equipment at least 2–3 weeks before the event. Include spare bingo cards, markers, batteries and extension cords so one missing item does not stop a round.
  • Close registrations several days before bingo night and use the final list to check dietary requirements. Do not leave this check until guests are arriving, when catering changes are harder to arrange.
  • Create a simple room layout showing the registration desk, tables, presentation table and prize table. Put the layout drawing up during setup so volunteers know where each item belongs.
  • Begin venue setup at least 90 minutes before the start time. Test the microphone, speaker and laptop, then place the cards and markers, display the prizes and chill the drinks before doors open.

Frequently asked questions

How far in advance should I plan a bingo night?
Confirm the date and location at least 4–6 weeks ahead. Use the following weeks to send invitations, process registrations, order prizes and reserve bingo equipment.
How many bingo cards do I need for a bingo night?
Prepare one card per registered player, plus at least 10% reserve cards. For 40 players, that means 44 cards, with markers and pens available at the same time.
When should I buy prizes for bingo night?
Order the prizes 2–3 weeks before the event and collect them with the other materials during the final week. Check the complete prize set before setup so missing items can still be replaced.
How early should I arrive to set up a bingo night?
Allow at least 90 minutes for the room, tables, cards, prizes, refreshments and sound system. Add another 30 minutes if volunteers are unfamiliar with the venue or equipment.
