Tips

  • Plan seating for at least 60–70% of your expected visitors at one time, then add standing space around beer tables and the demonstration areas. Include folding chairs, bar stools and coat racks where the program calls for them.
  • Allow two to three drinks per person for the first hour, then one drink per person for each additional hour. Buy reusable cups, glasses, serving jugs and enough coolers or refrigerator space to keep the busiest service point supplied.
  • For coffee service, provide one coffee cup per expected coffee drinker plus 10% spare, and match kettles and coffee machines to the number of serving points. Do not leave coffee cups, spoons or milk-serving equipment until the final shopping check.
  • Keep food service separate from performance traffic: use buffet tables, serving platters, serving spoons, plates and dessert plates at a dedicated point. Add food warmers if hot dishes will stand for longer than 30 minutes.
  • Count extension cords before setting out the stage, speakers and wireless microphones, and keep one spare cable available for each main power route. Mark tent locations early and arrange patio heaters only after checking the forecast and ventilation needs.
