What you need for a harvest market

A harvest market needs more than produce and display tables. You will also need chilled drinks, serving equipment, payment supplies, lighting and a reliable way to move stock between deliveries and stalls. Buy shelf-stable items early, then leave fresh groceries and ice until close to opening day. Use this list alongside your stall layout and vendor confirmations so you do not buy equipment that suppliers are already bringing.

Tips

  • Plan drinks at two to three per visitor for the first hour, then add more for longer opening periods. Chill the first batch before opening and keep spare drinks in coolers rather than relying on one large container.
  • Prepare one cash box and one card machine for each active payment point, plus enough change for the first sales. Withdraw cash no later than the day before and test every card machine before stall setup.
  • Allow one extension cord and one power strip for each powered stall, then check the available outlets against your layout. Keep battery lamps available for every stall in case daylight fades or a connection fails.
  • For food service, match plates, bowls and glasses to your expected peak hour, not your total attendance. A practical starting point is 1.5 sets per expected customer when washing up during the market is not possible.
  • Keep cutting boards, paring knives, serving tongs and serving spoons separate from sales stock, and pack them in labelled food containers. Add aluminum trays or food warmers for items that must stay hot instead of leaving them uncovered on tables.

Frequently asked questions

What food should I buy for a harvest market?
Buy shelf-stable products first, then fresh groceries one to two days before the market. Base quantities on confirmed vendors, expected registrations and the number of servings planned per stall, with a 10% buffer for popular items.
How many drinks do I need for a harvest market?
Allow two to three drinks per person for the first hour, then about one additional drink per person for each extra hour. Keep at least 10% extra chilled or ready to chill, especially in warm weather.
How much disposable tableware do I need?
Start with 1.5 plates, bowls and glasses per expected customer when there is no washing-up point. For 100 customers, that means 150 of each item, plus a separate reserve for vendors and staff.
When should I buy supplies for a harvest market?
Buy shelf-stable food, tableware and equipment one to two weeks ahead. Buy fresh groceries one to two days before opening, and chill drinks at least 12 hours in advance so they are ready at setup.
