Glow Run checklist: what to arrange and when

A Glow Run needs more than glow sticks and a playlist. You need a confirmed route, permits, traffic control, first aid cover and a clear start and finish layout before registrations open. This checklist helps you work through the planning in the right order, from recording the date and checking the route to sorting bib numbers, testing lights and preparing drinks. It also covers the small details that are often left until the last day, such as batteries, extension cords and participant information.

Tips

  • Confirm the route and venue before promoting the run. Check the full course on foot, mark turns with route arrows, and allow time to arrange traffic cones, barriers and traffic marshals at crossings.
  • Set the safety plan before accepting registrations. Arrange first-aid cover, submit permits on time, and prepare a traffic plan showing marshal positions, barriers, cones and any restricted areas.
  • Test every light source at least 3 days before the event. Check glow sticks, glow bracelets, LED lights, batteries, the sound system and wireless microphones rather than discovering dead batteries after sunset.
  • Send participant information no later than 3 days before the Glow Run. Include the meeting point, start time, assigned starting group, route details, what to wear, and any information about dietary requirements or refreshments.
  • Pack the start and finish areas separately on event day. Keep bib numbers, safety pins, wristbands, stopwatches, a measuring tape, power banks, extension cords and power strips together so setup does not depend on a last-minute shopping trip.

Frequently asked questions

How far in advance should I organize a Glow Run?
Start planning at least 8 to 12 weeks ahead. This gives you time to reserve the venue, check the route, apply for permits, arrange traffic marshals and first aid, and open registration with reliable event information.
When should I check the Glow Run route?
Do the first full route check at least 4 weeks before the event, then inspect it again during the final week. On the last check, confirm lighting, road conditions, turning points and the exact positions of arrows, cones and barriers.
How many glow sticks and glow bracelets do I need per runner?
Prepare at least 1 glow item per participant and keep an extra 10% available for breakage, replacements and late registrations. Sort the wristbands and other light-up materials by start group before participants arrive.
When should I send information to Glow Run participants?
Send the main participant information 3 to 5 days before the run, after the start groups and route details are fixed. Send any weather-related update on the day before or on event day, depending on the forecast.
