Gift drive checklist: from first plan to final handover

A gift drive needs more than a collection box and a campaign message. You need a confirmed fundraising date, clear collection rules, staffed collection points and a reliable process for checking, sorting and packing donations. This checklist puts the work in a practical order, from reserving the venue and recruiting volunteers to setting up tables, packing stations and signs on the day. It also helps prevent late problems such as missing dietary information, unlabelled gifts or too few people for sorting.

Tips

  • Set the collection rules before inviting people. State who the gifts are for, what can be donated and when donations must arrive, so volunteers are not left deciding case by case.
  • Build the volunteer schedule around the busiest work, not just the public opening time. Allow separate coverage for collection, registration, sorting, gift checking and packing.
  • Create a simple route through the venue before setup begins. Use collection bins at the intake points, tables for sorting and packing, and directional signs so donated gifts do not pile up in one area.
  • Prepare gift stickers, name stickers and the inventory process before the first donation arrives. A gift that is not checked and labelled immediately is much harder to trace later.
  • Check the practical equipment at least one day before the drive. Test the laptop, printer, scanner, extension cords and power strips, and make sure coffee, cups and serving equipment are ready for volunteers.

Frequently asked questions

How far in advance should I plan a gift drive?
Start planning at least 4 to 6 weeks before the collection date. Confirm the venue and fundraising date first, then allow time for volunteer recruitment, promotion, registrations and collection-point arrangements.
How many volunteers do I need for a gift drive?
Plan for at least 1 volunteer per active collection point, plus 2 to 3 people for sorting and checking gifts and 2 people for packing. Add one coordinator for every shift so questions do not stop the workflow.
When should donated gifts be sorted and checked?
Check and sort gifts on the same day they arrive whenever possible, or within 24 hours at the latest. This gives you time to identify damaged, unsuitable or missing items before packing begins.
What should I prepare the day before a gift drive?
Prepare the inventory, shopping list, packing materials, labels and volunteer instructions the day before. Also test power and printing equipment and confirm that tables, chairs, collection bins and signs are available before the room opens.
