- Test every quiz question and the full presentation at least 3 days before the event. This gives you time to replace unclear questions, check answer slides and fix formatting.
- Assign teams after registrations close, ideally 2 to 3 days before the quiz. Prepare team cards, table signs and enough answer forms for every round, plus at least 10% extra.
- Check the projector, laptop, HDMI cable, speaker and microphone before guests arrive. Keep extension cords and power strips available, and run the complete presentation with the venue lighting set as it will be during the quiz.
- Set up the registration table and team tables before opening the venue. Put pens, clipboards and answer forms at each team table so registration does not delay the first round.
- Prepare refreshments after the room and equipment are ready. Put drinks on ice and set out coffee, tea, cups, glasses, plates and serving platters only when the quiz area is safely clear of cables.
