Game Night Checklist
A good game night needs more than a stack of board games. You need enough tables and chairs, a clear game inventory, suitable group sizes, snacks, drinks and a simple way to explain the rules. Start by confirming the date and location, then handle registrations and dietary requirements before buying supplies. On the day, set up the room so guests can get drinks, find their group and start playing without waiting.

Tips
- Check the game inventory at least one week before game night. Confirm that every game has its rules, cards, dice or other pieces, and reserve extra games if the selection is too small.
- Use the registration list to plan game groups before guests arrive. For each table, prepare the game, score pads, pens and any hourglass or game cards needed so setup does not depend on last-minute decisions.
- Finish shopping at least two days ahead, especially for snacks, coffee, tea, ice and drinks. Chill drinks before guests arrive and keep water carafes available throughout the evening.
- Set up tables and chairs with enough space for people to move between game tables. Add a reception table for check-in, a coat rack for outerwear and a separate area for serving trays, plates and cutlery.
- Test the Bluetooth speaker, lighting and extension cords before setup is complete. Keep the game rules and prizes together at the front so instructions and prize distribution take only a few minutes.
Frequently asked questions
- How many games do I need for a game night?
- Prepare at least one playable game for every planned group, plus two or three extra options for different group sizes or preferences. Check every box and set of components one week before the event.
- How far in advance should I send game night invitations?
- Send invitations three to four weeks before the date and set a registration deadline about one week before game night. Use the final list to assign groups and collect dietary requirements.
- How many tables and chairs do I need for game night?
- Plan one game table and enough chairs for each group, with one additional table for reception, snacks or drinks. Leave roughly 90 centimetres of walking space between tables where possible.
- When should I set up for a game night?
- Begin room setup two to three hours before guests arrive. Set out games, tableware, snacks and drinks during the final hour, then test music and lighting before opening the door.
