Food Truck Festival Shopping List

A food truck festival needs more than the trucks themselves. Plan serving ware, drinks, coffee supplies, cooling equipment, power accessories, signs, lighting and waste collection before setup day. The quantities depend on your guest count, but disposable extras and clear wayfinding are easy to underestimate. Use this list alongside your supplier confirmations so nothing is missing when the trucks arrive and the first guests start ordering.

Tips

  • Plan at least 1 reusable cup, plate, bowl and full cutlery set per expected guest, plus a 10–15% reserve for replacements during the event.
  • For a coffee and tea station, provide 1 coffee cup per expected coffee drinker and prepare enough kettles, coffee machines, serving spoons and refreshments for peak service rather than average demand.
  • Buy or collect coolers early enough to chill drinks before opening; moving drinks into coolers on the event day leaves little time for setup and temperature checks.
  • Count extension cords, power strips and cable reels against the actual food truck layout. Keep cables away from walkways and bring spare route arrows so guests can find trucks, toilets and exits.
  • Place waste bins at food truck queues, seating areas and drink stations, then keep broom sets available throughout the festival. Waste builds up fastest during the busiest serving period, not at closing time.

Frequently asked questions

What tableware do I need for a food truck festival?
Plan one cup, plate, bowl and cutlery set per guest, then add a 10–15% reserve. Include serving spoons and coffee cups if drinks or shared sides are part of the setup.
How many reusable cups should I buy for a food truck festival?
Start with one reusable cup per expected guest and add at least 10% extra. A 200-person festival therefore needs a minimum of 220 cups if washing or collection cannot happen during service.
When should I arrange power equipment for food trucks?
Confirm power requirements with every truck at least 1–2 weeks before the festival. Check extension cords, power strips and cable reels again during the venue inspection, before trucks arrive.
What signage is needed at a food truck festival?
Prepare menu boards for each truck and clear information boards and route arrows for queues, seating, toilets and exits. Have all signs ready at least one day before setup so they can be placed during the floor-plan check.
