What you need for a food truck festival

A food truck festival needs more than trucks and hungry visitors. Use this shopping list to prepare seating, serving ware, power, lighting, drinks, payment equipment and practical storage before setup day. Plan quantities around your expected visitor capacity: provide one reusable plate, bowl, cup and set of cutlery per guest, plus at least 10% spare. Check each truck’s equipment list early so you do not buy items they already supply.

Tips

  • Plan one high table or seating place for every 4–6 visitors if people will eat on site. Add picnic tables and folding chairs for families, older guests and anyone who cannot comfortably eat standing.
  • Allow one reusable plate, bowl, cup and cutlery set per expected guest, with 10% extra for replacements and delayed washing. Keep serving spoons, kitchen knives, cutting boards and pliers separate from visitor tableware.
  • Ask every food truck for its power draw at least 7 days before the festival. Use cable reels, extension cords and power strips only after confirming the available supply and keep spare power banks for payment terminals.
  • For a four-hour event, plan roughly 2–3 drinks per person for the first hour and 1 drink per person for each additional hour. Use coolers, pitchers and thermos flasks so water, coffee and other drinks can be replenished without blocking the serving area.
  • Prepare one clearly labelled storage bin for each work area: tableware, drinks, cleaning supplies and payment equipment. Add battery lamps for dark corners and keep portable speakers and the microphone away from food preparation and wet areas.

Frequently asked questions

How many reusable plates and cups do I need for a food truck festival?
Buy one plate, bowl, cup and cutlery set per expected visitor, then add 10% spare. For 200 visitors, that means 220 of each item unless the food trucks provide their own disposable or reusable service ware.
How much drinking equipment is needed for a food truck festival?
For a four-hour festival, estimate 2–3 drinks per person in the first hour and 1 per person for each later hour. For 200 visitors, prepare capacity for about 1,000 drinks, then adjust for weather and whether food trucks sell drinks themselves.
When should I check power requirements for food trucks?
Collect each truck’s power requirements at least 7 days before the event, and confirm them again 48 hours before setup. This gives you time to arrange cable reels, extension cords, power strips or an alternative supply.
How many tables and chairs do I need for a food truck festival?
Provide one seating place for every 4–6 visitors who will eat on site. For 200 visitors, start with 35–50 seats and add high tables for people who prefer to eat standing; increase the number if most food is served as a sit-down meal.
