What you need for a film awards ceremony

A film awards ceremony needs more than trophies and a red carpet. You will need reliable projection and sound equipment, enough seating for guests, clearly labelled award and dining tables, and practical items for registration and catering. Use the guest count to calculate chairs, plates, glasses and badges, then add a small buffer for late confirmations. Check every cable, microphone, presentation laptop and prize before guests arrive, because replacing one missing adapter or certificate on the day is difficult.

Tips

  • Plan one seat per registered guest, plus 5–10% extra folding chairs for late arrivals, presenters and judges. Keep a few seats near the stage available for award recipients.
  • For each presentation setup, allow one laptop, one HDMI cable, one power strip and one extension cord, then keep at least two spare HDMI cables and one backup power bank on hand.
  • Set aside a separate prize table and check every trophy, certificate and category label at least 24 hours before the ceremony. Keep winners’ names out of sight until the presentation.
  • Prepare one name badge for every guest, judge, host and supplier, plus 10% extras. Put badges at a reception table so registration does not block the entrance or red carpet.
  • Count dinner plates, tableware and catering supplies against confirmed dietary requirements at least 3 days before the event. Keep 5–10% extra plates and glasses if the guest list is still changing.

Frequently asked questions

What equipment do I need for a film awards ceremony?
At minimum, plan for a projector, projection screen, laptop, speakers, mixer, wireless microphones, microphone stands, HDMI cables, extension cords and power strips. Test the complete setup at least 24 hours beforehand and bring two spare HDMI cables.
How many chairs do I need for an awards ceremony?
Provide one chair per confirmed guest, judge, host and performer, then add 5–10% extra folding chairs. For 100 registered guests, that means preparing 105–110 chairs, depending on how many seats are reserved on stage or at dining tables.
How many name badges should I buy for a film awards ceremony?
Prepare one badge for every invited guest, judge, host and supplier, plus 10% spare badges. For 80 expected attendees and 10 staff or contributors, prepare at least 99 badges.
When should I order prizes and certificates?
