Farmers’ market shopping list
A farmers’ market needs more than fresh produce and tables. You also need a practical setup for displaying goods, keeping refrigerated items cold, serving coffee and tea, and taking payments. This shopping list covers the equipment and supplies that are easy to overlook, from storage crates and price tags to extension cords and reusable tableware. Check quantities against the number of stalls, suppliers and visitors before shopping, then leave time to collect fresh goods and chill them before opening.

Tips
- Plan at least one display surface per stall, plus separate checkout tables if vendors will not handle their own payments. Add wooden crates or display racks so produce is visible without putting everything flat on a table.
- Count reusable plates, bowls, cups and cutlery by expected servings, then add at least 10% extra. Coffee cups and tea glasses should be counted separately from general serving ware.
- Collect coolers and chilled items on the day before or early on market day. Keep refrigerated products in coolers until setup is complete rather than leaving them on supplier tables.
- Test every coffee machine, kettle, thermos flask, extension cord and power strip before the market opens. Map outlets in advance and bring enough cable length to keep walkways clear.
- Prepare price tags, name badges and the market map before suppliers arrive. Payment terminals should be charged and tested at least 24 hours beforehand, with a checkout table ready for each payment point.
Frequently asked questions
- What do I need for a farmers’ market stall?
- Start with a market stall or tent, a table, storage crates, display racks or wooden crates, price tags and name badges. Allow at least one main display surface per supplier and prepare the layout at least one day before opening.
- How many cups and plates do I need for a farmers’ market?
- Count one reusable cup or coffee cup per planned serving, then add 10% extra for breakage, delays and second servings. For food samples, prepare at least one plate or bowl per serving and keep a separate supply of cutlery.
- How do I keep farmers’ market produce cold?
- Use coolers for refrigerated products and transfer the goods as soon as they are collected. Chill the coolers or cold packs for at least 12 hours beforehand, and keep cold items stored until they are displayed.
- When should I prepare payment terminals for a farmers’ market?
- Charge and test every payment terminal at least 24 hours before the market. Set up checkout tables and power access before suppliers arrive, and keep extension cords and power strips away from visitor routes.
