  • Set a firm sign-up deadline at least 10 days before the show. Use the final list to build the performance order, identify missing music files, and check which acts need microphones, stands, or other equipment.
  • Allow 5–10 minutes between the advertised start time and the first performance. This gives families time to find seats, performers time to get ready, and the host time to explain voting and house rules.
  • Create one technical list for every act, including music format, microphone needs, props, and approximate performance length. Test all files on the event laptop or music player at least 24 hours before doors open.
  • Print the final run sheet, name badges, and audience voting ballots before the event day. Keep one master copy with the host and another with the sound operator so a missing page does not stop the programme.
