- Test every practice file on the laptops you will use, not only on the instructor’s computer. Open the files, check formulas and links, and save a local copy before participants arrive.
- Charge the laptops the day before and pack the correct chargers, power strips, extension cords, HDMI adapters, and cables together. A projector may work perfectly while half the room still lacks power or the right connector.
- Confirm registrations after processing them and use the final participant list for name badges, handouts, seating, and lunch quantities. Send a last confirmation with the start time and any instructions at least 2–3 days before the workshop.
- Decide the room layout before furniture is moved. Leave enough space for the instructor to reach each table and make sure every participant can see the projection screen while working on a laptop.
- Prepare coffee, tea, cold drinks, and the lunch buffet before the first break rather than during it. Check dietary requirements against the final registration list and place plates, cutlery, mugs, and glasses where participants can find them.
