Evaluation meeting checklist
An evaluation meeting needs more than a room and an agenda. You need a complete participant list, collected discussion points, presentations, dietary requirements and a clear action-items process before people arrive. Work through the plan in stages: confirm attendance and content first, then arrange the venue, catering and equipment, and finish with registration and room setup. This checklist covers the practical details that are easy to leave until the last day.

Tips
- Set a registration deadline at least 5 working days before the meeting. Use the final participant list to confirm dietary requirements, name badges, seating and the number of coffee cups, glasses and plates.
- Finish the programme and schedule before collecting presentations. Ask presenters for their files at least 2 working days in advance, then test the laptop, projector, screen, HDMI cables, microphone and power supply together.
- Do not leave catering to the day before. Order food after registrations close, check the shopping list, and allow time to chill drinks and prepare coffee, tea and snacks before participants arrive.
- Plan the room in two stages: place tables, chairs, buffet tables and the registration desk first, then set up the presentation area. Keep extension cords and power strips away from walkways and test every connection before opening the room.
- Prepare the action-items form, notepads, pens, sticky notes and flip chart before the opening. Put the welcome sign and name badges at the reception desk so attendance can be registered while the programme is explained.
Frequently asked questions
- How far in advance should I send evaluation meeting invitations?
- Send invitations at least 10 working days before the meeting and set a registration deadline 5 working days before it. That leaves time to process registrations, collect dietary requirements and create the final participant list.
- When should presentations be submitted for an evaluation meeting?
- Ask for presentations at least 2 working days before the meeting. Test the files and presentation equipment on the same day, rather than discovering a missing adapter or incompatible file during setup.
- How much time do I need to set up an evaluation meeting room?
- Allow 90 minutes for a full setup with tables, chairs, registration, catering and presentation equipment. Arrive earlier if you need to arrange a projector, microphone, coffee machines or multiple power connections.
- What should I prepare for evaluation meeting follow-up?
- Prepare the action-items form before participants arrive and leave at least 15 minutes in the schedule to complete it. Record each action with an owner and a deadline while the discussion is still fresh.
