What to bring for an educational excursion

An educational excursion needs more than notebooks and packed lunches. You need supplies for group work, clear route information, charged communication devices, safety equipment and catering that can be handed out quickly. Pack materials by group rather than in one large box, and allow time to check dietary requirements, permissions and emergency contacts before departure. This list helps you buy and prepare the practical items people often arrange too late.

Tips

  • Pack one backpack or supply bundle per group with a clipboard, notebooks, pens, pencils, erasers, a sharpener, markers, paper, tape and scissors. Add that group’s route map and group list so escorts do not have to sort materials at the starting point.
  • Prepare catering by participant, including drinks and any agreed dietary alternatives, then place it in coolers before departure. Reusable cups, plates, cutlery and napkin holders should be packed together instead of being distributed loose.
  • Charge every smartphone and power bank the evening before, and pack the correct charging cables with them. Keep at least one charged phone available for each escort group and bring the emergency contact list in a separate, accessible place.
  • Put name stickers, waterproof markers and safety vests in the starting-point kit. Waterproof labels are useful when bags, clothing or group materials may be exposed to rain.
  • Bring route maps, consent forms and emergency contact forms in waterproof folders or sleeves. Check the weather forecast before packing flashlights, folding stools or extra rain protection, and keep first aid kits and hand sanitizer easy to reach.

Frequently asked questions

What stationery do I need for an educational excursion?
For each working group, prepare at least one clipboard, several notebooks, pens, pencils, erasers, a pencil sharpener, markers, A4 paper, tape and scissors. Add spare writing tools so one lost pen does not stop an assignment.
How many phones and power banks should we bring?
Plan for at least one charged smartphone and one power bank per escort group, with a suitable charging cable for each device. Charge everything the evening before and keep one backup device available if possible.
What documents should I take on an educational trip?
Bring route maps, group lists, consent forms and emergency contact forms for every participant and escort. Print them before departure, place them in waterproof folders, and keep a spare copy at the starting point.
When should I pack food and coolers for the excursion?
Pack catering by participant on the day before or early on the departure day, depending on food safety requirements. Fill the coolers shortly before leaving so drinks and food remain cold during the journey.
