- Set the participant limit before sending invitations. The number of attendees affects the room layout, number of workstations, headphones, laptops and the time available for each practice slot.
- Book the teacher and DJ equipment early, then check the technical requirements at least 7 days before the workshop. Confirm software licenses, compatible laptops, audio cables, power strips and speaker connections rather than assuming everything will work together.
- Collect music preferences and music files before the workshop, with a clear deadline such as 3 days beforehand. Store the files on at least two USB sticks or other backup locations so a missing or corrupted file does not stop a practice session.
