  • Check the route twice: first for distance and timing, then for hazards such as narrow sections, loose surfaces, gates and crossings. Mark an alternative route before invitations go out, so a closure or unsafe stretch does not disrupt the ride.
  • Send participant information at least 7 days before the ride. Include the start and finish locations, route length, check-in time, bike-check instructions, required equipment and a contact number for problems on the day.
  • Prepare one route map per riding group or marshal, then print a participant list and race numbers 1–2 days before the event. Pack route arrows and signs separately in the order they are needed along the course.
  • Set up a basic repair point with at least one pump, tire levers, spare inner tubes, cable ties and repair kits. Check these supplies before loading the vehicle; a missing pump or tube is difficult to replace once riders are on the dike.
  • Plan food and drinks by service time, not just by headcount. Chill drinks in advance, assemble lunch packs before departure and keep coffee, hot water and food warmers ready at the finish; bring reusable cups, plates and serving utensils together in one labelled box.
