Dance Night with Live Music Checklist

A live-music dance night needs more coordination than a regular party: the band, venue, sound setup, catering and guest flow all have to fit together. This checklist puts the work in a workable order, from setting the programme and booking suppliers to opening the venue. It also covers details that are easy to leave too late, such as music rights, dietary requirements, access arrangements and the band’s parking information. Use it to keep the event moving without relying on last-minute decisions.

Tips

  • Confirm the band’s sound requirements before finalising the room layout. Check the mixer, microphones, DI boxes, cables, power strips and cable mats against the band’s technical information at least two weeks before the event.
  • Set a firm registration deadline and review the list twice: once for numbers and dietary requirements, and again when you send confirmations. Give the caterer the final guest count no later than 5–7 days before the dance night.
  • Plan the hall around movement, not just seating. Leave a clear route between the entrance, bar, buffet and dance floor, and make sure tables, chairs, coat racks and bar stools do not reduce the band’s working space.
  • Send the band a route, parking details, access instructions and a named contact at least 3 days in advance. Arrange keys and venue access before event day so the sound check is not waiting on one person.
  • Print the run sheet and contact list before opening the venue. Chill drinks, check snacks and place glasses, plates and serving equipment early enough to handle unexpected arrivals during the first hour.

Frequently asked questions

How far in advance should I book a live band for a dance night?
Start contacting bands at least 3–6 months before the event, especially if the date is a weekend. Confirm the booking in writing once the programme, fee and sound responsibilities are agreed.
How much sound equipment does a live music dance night need?
Allow at least 60–90 minutes for sound setup and checking, and use the band’s requirements as the baseline. Confirm the number of microphones, DI boxes, speaker connections, power outlets and cable runs no later than 2 weeks beforehand.
When should I send invitations for a dance night with live music?
Send invitations around 6–8 weeks before the event and set the registration deadline 7–10 days before the date. That gives you time to confirm attendance, collect dietary requirements and finalise catering.
How early should the venue open on the event day?
Open the venue at least 3 hours before guests arrive when a live band is performing. This allows time for furniture placement, lighting, sound check, drink chilling, buffet preparation and a final safety check.
