Cup Competition Shopping List
A cup competition needs more than match balls and a scoreboard. You also need a simple refreshment setup, enough drinks for players and officials, and practical items for the competition table, changing rooms, and spectator areas. Use the quantities below as a starting point and adjust them to the number of teams, matches, and visitors. Buy chilled drinks and perishable snacks as late as possible, while checking equipment and power supplies several days before match day.

Tips
- Allow roughly 1 litre of water per player for a half-day competition, then add extra crates for referees, supervisors, and warm weather. Keep at least one spare crate available rather than buying exactly to the expected headcount.
- For a four-hour competition, plan two to three drinks per spectator or volunteer, plus coffee or tea for about half of the adults working at the event. Chill drinks the evening before if your coolers can hold them safely.
- Take one match ball and at least one spare ball for every active field. Pack extra whistles, linesman flags, vests, shoelaces, and cones in a clearly labelled competition bag so a small equipment problem does not stop a match.
- For food service, allow one plate, cutlery set, and reusable drinking cup per expected guest, then add 10 percent spare stock. Bring separate serving platters and coffee cups so snacks and drinks can be served without using match-day equipment.
- Check extension cords and power strips before loading the car, especially for coffee machines, kettles, speakers, or a wireless microphone. Pack a thermos flask for each staffed refreshment point if the cafeteria is away from the competition table.
Frequently asked questions
- What drinks do I need for a cup competition?
- Plan about 1 litre of water per player for a half-day event, plus two to three drinks per spectator or volunteer. Add at least 10 percent extra for warm weather, delays, or unregistered visitors.
- How many match balls should I buy for a cup competition?
- Take one match ball and at least one spare for every active field. For two fields, that means a minimum of four balls; pack more if several matches run back to back.
- How many cups and plates do I need?
- Count one reusable drinking cup, plate, and cutlery set per expected guest, then add 10 percent spare stock. For 100 guests, prepare at least 110 of each item.
- When should I buy supplies for a cup competition?
- Buy non-perishable supplies and check equipment three to five days before the event. Buy chilled drinks, snacks, and other fresh items one day before, then chill the drinks the evening before match day.
