What you need for a cultural market

A cultural market needs more than stalls and products. Visitors need clear signs, places to sit, lighting, drinks and a programme they can follow, while stallholders need reliable power and practical table space. Use this shopping list to check what must be bought, borrowed or collected before opening day. Plan shared equipment early, especially tents, tables, extension cords and microphones, because these are often arranged too late.

Tips

  • Allow one market stall or table per participating seller, plus at least two extra tables for registration, information and refreshments. Confirm the final participant count before placing the order.
  • For a full market day, plan roughly one folding chair per stallholder and add 10–20% extra seating for visitors, workshop leaders and performers. Reserve high tables or beer tables for informal eating and standing areas.
  • Use one extension cord and one power strip for each separate powered area, then add at least two spare extension cords. Check cable lengths on site before the day, and keep chargers together at the information point.
  • Prepare one welcome sign at the entrance, route signs at every change of direction and one programme stand in each busy zone. Print enough programmes for all registered participants plus around 20% extra for walk-in visitors.
  • Set aside reusable cups, coffee cups, plates and bowls for both refreshments and workshops, and keep a separate supply for performers or stallholders. Buy or collect these at least three days beforehand so missing items can still be replaced.

Frequently asked questions

How many tables do I need for a cultural market?
Start with one market stall or table per seller, then add at least two shared tables for registration and refreshments. Add 10–20% extra table space if sellers have not confirmed the size of their displays.
How many chairs should I prepare for a cultural market?
Provide one chair per stallholder, workshop leader and performer who needs to sit, then add 10–20% extra for visitors. For a market with 30 sellers, that usually means at least 36 chairs before counting workshop seating.
How much crockery and how many cups do I need?
For self-service refreshments, prepare at least one reusable cup, coffee cup, plate and bowl per expected visitor, plus 20% spare. If 100 people may attend at the busiest time, prepare about 120 of each item used.
When should I buy or collect cultural market supplies?
Collect furniture, tents, power equipment and sound equipment at least one week before the market so you can check quantities and condition. Buy drinks, disposable replacements and other consumables no later than three days before opening.
