Company barbecue shopping list
Use this shopping list to prepare a company barbecue without last-minute runs to the shop. Plan food and drinks around your final guest count, then check the equipment separately: barbecues, gas cylinders, coolers, tables and serving items are easy to overlook. Keep meat and vegetarian products chilled until cooking, and allow extra time for salads, sauces, bread and vegetables. The full plan also covers setup, power, shelter and clearing the venue afterwards.

Tips
- Plan two to three drinks per person for the first hour, then one to two drinks per person for each additional hour. Add coffee, tea and water separately rather than counting them as soft drinks.
- Buy roughly 250 to 300 grams of barbecue food per adult, including meat and vegetarian products. Confirm dietary requirements before shopping so vegetarian, vegan and allergy-safe food is not treated as an afterthought.
- Allow one reusable plate, bowl, glass and cutlery set per guest, plus at least 10% extra. Serving platters and serving tongs are needed at the buffet as well as the barbecue.
- Check the gas supply at least one week before the event and keep a spare gas cylinder available if the barbecue will run for several hours. Also test extension cords, power strips, coffee machines and kettles before setup day.
- Put salads, sauces, bread and chopped vegetables on the shopping list separately from the barbecue food. Prepare these early, and keep meat and vegetarian products in separate coolers until they go onto the grill.
Frequently asked questions
- How much food do I need for a company barbecue?

- Plan two to three drinks per person for the first hour and one to two drinks per person for every following hour. Include water, soft drinks and hot drinks in the total, and chill them several hours before guests arrive.
- How many plates and glasses do I need for a company barbecue?
