Collectors' Market Checklist

A collectors' market needs more than tables and invited sellers. You have to coordinate permits, registrations, stand assignments, visitor routes, payments and practical information before the doors open. Start with the venue and permissions, then build the participant list and market layout, followed by promotion and equipment checks. Use this checklist to keep the 81 planning tasks in the right order and avoid last-minute gaps at the entrance or on the sales floor.

Tips

  • Set a firm registration deadline before you divide the stands. After processing registrations, confirm each participant and send the market map, stand number, arrival details and market rules in one information message.
  • Plan the visitor route before printing signs. Mark the entrance, stand numbers, payment point, parking information and any one-way flow clearly so visitors do not crowd the registration or sales area.
  • Test admission payments before event day, including the cash register, payment terminal and cash boxes. Prepare change in advance and display the admission prices where visitors can see them before reaching the entrance desk.
  • Check every table and chair against the final stand plan, then add a small buffer for the entrance desk and visitor seating. If the market is outdoors, confirm party tents, power access and extension cords before loading the equipment.
  • Do the technical check while the venue is still empty: test lighting, speakers, microphone, coffee machines and kettles, then label cables and power strips. Keep the laptop, label printer and spare supplies together so registration changes can be handled quickly.

Frequently asked questions

How far in advance should I organise a collectors' market?
Start venue and permit checks at least 8 to 12 weeks before the market. Open participant registration around 6 to 8 weeks ahead, leaving the final 2 weeks for confirmations, signage and layout changes.
When should collectors register for the market?
Give collectors a registration deadline 3 to 4 weeks before the event. Process the entries within 3 days, then send confirmed participants their stand number, market map, rules and arrival information.
How many tables do I need for a collectors' market?
Count the tables from the approved stand layout, then add at least 2 extra tables for the entrance desk, information or payment area. Check the exact table dimensions and aisle width before confirming the number of stands.
What should I prepare for market admission payments?
Decide on the payment method at least 2 weeks before opening registration and print the admission prices before promotion starts. Test the cash register and payment terminal 1 to 2 days before the market, and prepare change before setup begins.
