- Set the table plan before confirming participants. Decide how many collectors fit at each table, leave clear walking routes, and print a floor plan so volunteers can place tables and table numbers without guessing.
- Send participant terms with the registration form, not after registration closes. Include what can be traded, how exchanges or sales are handled, arrival times and the deadline for cancelling a table.
- Collect dietary requirements while processing registrations. Use the final participant list to estimate refreshments, then buy and chill drinks early enough for them to be cold when the venue opens.
- Prepare a contact list, name badges, directions and table assignments at least 2–3 days before the meet. Last-minute changes are much easier to manage when every volunteer has one current list.
- Check power and lighting before setup begins. Coffee machines, kettles, speakers and LED lamps may need extension cords or power strips, so keep cables away from visitor routes and test the microphone before doors open.
