Tips

  • Check the route at least once after recording it, and note every diversion before printing route maps or placing route arrows. A road closure discovered on ride morning is difficult to fix.
  • Close registrations early enough to print a participant list and plan food. Use the final numbers to prepare sandwiches, fruit, snacks, coffee and tea rather than estimating at the last minute.
  • Assign volunteers specific jobs and arrival times. You need coverage for registration, route guidance, refreshments and basic bicycle problems, not just a general list of helpers.
  • Inspect the repair kit before setup: check that pumps work and that spare inner tubes, tire levers and multi-tools are present. Put it where riders and volunteers can reach it quickly.
  • Allow at least 60 minutes before participant arrival for tables, chairs, the registration desk, party tent, route arrows and refreshments. Keep the first aid kit and reflective vests visible, not packed under the tables.

How far in advance should I plan a club ride?
Set the route and reserve the clubhouse at least 4 to 6 weeks ahead. Send invitations early enough to leave 7 to 10 days for registrations and dietary requirements.
When should I print the participant list and route maps?
Print both 1 to 2 days before the ride, after checking the route and forecast. Keep a small number of blank registration sheets in case someone arrives without a confirmed place.
How much food and drink should I prepare for a club ride?
Base the order on the final registration count and add about 10% for late additions or larger appetites. For the arrival and finish area, plan roughly 2 drinks per person for the first hour, plus coffee, tea, sandwiches, fruit and snacks.
How early should volunteers arrive for a club ride?
Have setup volunteers arrive at least 60 minutes before participants, and route-signing volunteers earlier if the course is spread out. Registration and refreshment helpers should be in position 30 minutes before the announced start.
