Tips

  • Count reusable drinking glasses, wine glasses and shot glasses against your confirmed guest list, then add about 10% extra so a dropped or misplaced glass does not stop service.
  • Plan roughly two to three drinks per person for the first hour, then one to two per person for each additional hour. Chill the first stock several hours before opening and keep the rest in coolers.
  • Bring at least one bottle opener and one corkscrew for every 25 guests, plus measuring cups and serving trays if drinks or snacks need portioning behind the bar.
  • Check power before setup: use power strips and extension cords for the DJ controller, laptop, speakers and party lights, while keeping cables away from walking routes and the dance floor.
  • Set aside cleaning supplies before guests arrive. Keep a mop set, broom, dustpan and bucket accessible for spills, and prepare coat racks and folding chairs before the welcome period starts.

How many glasses do I need for a club night?
Plan one drinking glass per guest for general service, with separate wine and shot glasses if those drinks are served. Add around 10% extra; for 80 guests, that means about 88 glasses of each type you intend to use.
How much ice do I need for a club night?
Allow roughly 1 to 2 kilograms of ice per 10 guests for drinks and chilling, depending on the event length and venue temperature. For 80 guests, prepare about 8 to 16 kilograms and keep additional drinks cold in coolers.
What bar equipment should I buy or bring?
