Tips

Plan two to three drinks per guest for the first hour, then add about one drink per person for each additional hour. Buy ice or prepare coolers at least four hours before the event so drinks are cold when guests arrive.
Use one reusable cup per guest plus at least 10% extra, so a 100-person club night needs around 110 cups. Add plates, cutlery and serving utensils according to the food you are serving rather than assuming the venue has them.
Check every speaker, mixer, microphone, laptop, cable, charger and extension cord at least one day before the night. Bring spare audio cables and power strips; a missing connector can stop the music even when the main equipment works.
Set aside one coat hanger per expected coat and provide at least two clearly marked waste bins for a small-to-medium club night. Put directional signs and painter’s tape in the shopping box, because these are often forgotten until setup starts.
Buy or borrow lighting stands, cable mats and LED party lights before the venue opens. Tape down cables as soon as the sound and lighting systems are connected, leaving enough clear space around entrances, the bar and the dance floor.
