- Set up one registration table for every 50 to 75 cars, with chairs, start numbers, a participant list and spare pens. Keep the registration area under a party tent if cars arrive in rain or strong sun.
- Prepare at least two printed route maps or direction sets per car, plus 10% extra. A laminator or waterproof sleeves prevent route sheets and checkpoint signs from becoming unusable.
- For a one-hour welcome period, allow two to three drinks per person, then add roughly one drink per person for each additional hour. Keep chilled stock in coolers or a portable fridge and provide water jugs as well.
- Bring one walkie-talkie for each checkpoint or route coordinator, with at least two spare units. A megaphone is useful at the start when engines and arriving cars make normal instructions difficult to hear.
