Christmas Market by Night Checklist

A night market needs more than stalls and festive lights. You have to coordinate stallholders, power, permits, food service, payments, volunteers and a weather backup before opening time. Start with the date, venue and layout, then move through registrations, suppliers and staffing. In the final week, check stock, chill drinks, prepare the mulled wine and soup bases, and test every light, cable and payment terminal.

Tips

  • Set the layout before confirming booth spaces. Mark every stall, table, chair, power outlet and cable route so extension cords and cable mats can be arranged without creating trip hazards.
  • Confirm permits, insurance, power access and deliveries at least 2–3 weeks before the market. Ask stallholders whether they need electricity, refrigeration or extra display space.
  • Plan food and drink service by capacity, not just by menu. Test the warming kettles, soup kettles, coffee machines and thermos flasks before the event, and keep serving spoons, jugs and platters ready at each station.
  • Create the volunteer rota with fixed shifts and named responsibilities. Include one person for stallholder queries, one for payments, one for replenishment and one for safety checks during the busiest hours.
  • Check the weather forecast 5–7 days before opening and activate the backup plan if needed. Recheck tents, lighting, heaters or indoor space, then secure tables, stalls, lanterns and electrical cables before guests arrive.

Frequently asked questions

How far in advance should I organise a Christmas market by night?
Set the date and reserve the venue at least 8–12 weeks ahead. Contact stallholders, confirm permits and open registration once the layout and programme are clear.
How many volunteers do I need for a Christmas market?
Plan at least 1 volunteer for every 20–30 guests during busy periods, plus a coordinator. Add separate cover for payments, stallholder support, food service and safety checks.
When should I prepare mulled wine and soup for the market?
Prepare the mulled wine and soup bases on the day of the event, allowing 2–3 hours before opening for cooking, holding and temperature checks. Chill drinks and organise non-perishable supplies earlier.
How early should I set up a night Christmas market?
Allow 4–6 hours for full setup, including stalls, tables, string lights, LED lamps, power cables, food equipment and payment terminals. Finish electrical and safety checks at least 30 minutes before guests arrive.
