Tips

  • Set the route and starting point before inviting anyone. Allow time to check the full route for obstacles, identify crossings and place route signs where participants could otherwise take a wrong turn.
  • Start permit and notification requests as soon as the route is drafted. A traffic plan may need input from several parties, so do not leave barriers, cones, reflective vests and traffic controllers until the final week.
  • Send participant information at least 7 days before the parade. Include the meeting time, route, parking or access instructions, lighting expectations and a clear deadline for registrations and dietary requirements.
  • Test every string light, lantern and battery holder before setup day. Keep spare batteries, flashlights and extension equipment available; cold weather and long cable runs can expose faults that were not obvious indoors.
  • Prepare hot drinks and snacks close to the start or finish area, but keep serving equipment out of the traffic flow. For a group of 50 people, plan roughly 50 cups and enough thermos or kettle capacity to serve everyone within 30 minutes.
