- Confirm the room before inviting anyone. Check its capacity, access times, insurance requirements and whether any permits or notifications are needed, then create a floor plan showing chairs, tables, the choir area and refreshments.
- Finalise the music programme early enough to collect lyrics and print songbooks. Allow at least one week between sending the final version to print and the service so missing pages can be corrected.
