- Set the RSVP deadline at least 7 days before the presentation. That gives you time to collect dietary requirements, confirm attendance and adjust catering and seating.
- Check the book stock before buying refreshments or setting up the sales table. Put the books in one place and leave enough time to prepare a visible display rather than unpacking them as guests arrive.
- Prepare printed materials no later than the day before. Print the presentation text, attendance list and name badges, then keep them together so they are not left behind when the venue opens.
- Allow at least 60 minutes before doors open for room setup. Arrange chairs and tables first, then connect the laptop, projector, screen, speakers and microphone before adding decoration and catering.
- Test the microphone and presentation with the actual laptop and cables at the venue. Keep extension cords, power strips and a presentation clicker ready; a sound or connection problem is much harder to solve once guests are seated.
