Bingo night shopping list
A bingo night needs more than bingo cards and prizes. You will also need markers for every player, clear number signs, name badges, serving items, drinks, snacks and a way to keep everything organised at the venue. Use this list to check what must be bought, borrowed or brought along before guests arrive. Plan the quantities from your registration total, then add a small buffer for forgotten items, spills and extra players.

Tips
- Count one bingo card per player for each planned round, then prepare 5β10% extra cards in case of late registrations or damaged cards. Keep sorted cards at the bingo tables rather than handing out the full stack at once.
- Provide at least one bingo marker per player, plus 10% spare markers. Test the bingo cage, balls and microphone before guests arrive; replacing or fixing them during the first game is difficult.
- Buy prizes as a complete package before invitations go out, so the number of winners and rounds is clear. Wrap them ahead of time and place them on a separate prize table, not at the reception desk.
- For drinks, plan roughly 2β3 drinks per person for the first hour and 1β2 per person for each following hour. Chill drinks before opening, and keep coffee, kettles and a pitcher ready for guests who do not want cold drinks.
- Match plates, cups, glasses and cutlery to the registration count, with about 10% extra. Bring serving trays, tablecloths, waste bins, extension cords and power strips; these practical items are often missed when the shopping is focused on prizes and snacks.
Frequently asked questions
- How many bingo cards do I need for a bingo night?
- Prepare one card per player for each round that uses new cards. Add 5β10% extra cards, so a group of 40 players needs at least 42β44 cards per round.
- How many bingo markers should I buy?
- Plan one marker for every player and keep 10% spare. For 40 players, bring at least 44 markers so a lost or dried-out marker does not stop the game.
- How much food and drink do I need for bingo night?
- Allow 2β3 drinks per person during the first hour and 1β2 for every additional hour. For snacks, prepare at least 2β3 small portions per person per hour, with extra options based on the dietary requirements collected during registration.
- When should I buy and prepare the bingo night supplies?
- Buy prizes, bingo materials and decorations at least 1β2 weeks before the event. Do the food and drink shopping 1β2 days beforehand, chill drinks in advance and set out the cards, markers and name badges before guests arrive.
