Bingo night checklist and planning guide
A bingo night runs smoothly when the game materials, room layout and refreshments are ready before guests arrive. Book the venue first, then confirm the format, prizes and attendance so you know how many cards, seats and servings to prepare. Keep spare cards, markers and pens at the bingo table, and test the microphone, speaker and bingo cage before opening. This checklist takes you from the first arrangements through setup and guest welcome.

Tips
- Confirm the bingo format and prizes before sending invitations. This gives guests clear information and lets you prepare the right cards and round cards instead of making changes after registrations begin.
- Set a registration deadline several days before the event. Use the final numbers to arrange tables and chairs, collect dietary requirements, and buy enough snacks, drinks and coffee supplies.
- Prepare the bingo table separately from the prize table. Keep the bingo cage, balls, cards, markers, spare cards, pens and instructions together so the caller does not have to search during a round.
- Test the wireless microphone, speaker, extension cords and power strips before guests arrive. Do this during venue setup, not when the first round is about to start, and keep cables away from walking routes.
- Allow at least 60β90 minutes for venue setup. Tables and chairs come first, followed by the bingo post, prize table, drink station, snacks, sound system and final card check.
Frequently asked questions
- How far in advance should I organise a bingo night?
- Book the venue and decide the bingo format at least 4β6 weeks ahead. Send invitations once the date, format and prizes are confirmed, then close registrations several days before the event.
- How many bingo cards should I prepare?
- Prepare one card per registered guest, plus at least 10% spare cards. For 40 guests, that means 44 cards, with extra cards available if one is damaged or a late change occurs.
- When should I set up for a bingo night?
- Open the venue 60β90 minutes before guests arrive. Set up the tables and chairs first, then test the bingo equipment and sound system before placing cards, prizes, drinks and snacks.
- What do I need at the bingo table?
- Place the bingo cage, bingo balls, bingo cards, markers, spare cards, round cards, pens, notepads and the instructions at the bingo table. Keep a few extra pens and cards there so a missing item does not interrupt a round.
