What you need for a Bike Festival
A Bike Festival needs more than bikes and helmets. You will need supplies for registration, route marking, repairs, refreshments and the start and finish area. Plan drinks and snacks for the full riding period, then add equipment for mechanical problems, changing weather and missing gear. This checklist helps you buy or bring the items that are easy to overlook, including spare inner tubes, lights, route arrows, power supplies and enough reusable tableware for everyone.

Tips
- Plan around 750 ml to 1 litre of drinks per rider for a short festival ride, and more if people will be cycling for several hours. Chill part of the supply in coolers and keep the rest available for refills.
- Bring at least one bike pump, one repair stand and one bike tool kit for each main support point. Pack spare inner tubes in several common sizes rather than keeping every repair item at the start area.
- Prepare route arrows and route signs in advance, then pack extra signs and cones for missing or damaged markers. A practical reserve is 10% more signs than the route plan requires.
- Provide one helmet and one bicycle light set for every loan bike that may be used after dark or in poor weather. Check the bikes, bells, lights and helmets before participants arrive.
- Count reusable cups, plates and cutlery against the confirmed registration list, then add about 10% extra. Do the same for chairs and serving supplies if food or drinks are served at the start or finish area.
Frequently asked questions
- What should I buy for a Bike Festival?
- Start with drinks, snacks, reusable cups, plates and cutlery. You will also need route arrows, route signs, cones, bib numbers, bike pumps, repair tools, spare inner tubes, helmets and bicycle light sets.
- How many drinks do I need for a Bike Festival?
- Allow about 750 ml to 1 litre per rider for a short ride, and plan additional drinks for longer routes or warm weather. Keep at least one refill point or cooler accessible during the event.
- How many spare inner tubes should I bring?
- Bring at least 1 spare inner tube for every 10 participating bikes, with a minimum of 5 tubes for a small festival. Carry them with the route support team rather than storing all of them at the finish area.
- When should I prepare the Bike Festival supplies?
- Buy non-perishable items and check rented equipment at least 7 days before the festival. Pack route markers, bib numbers, tools and safety gear the day before, then chill drinks and prepare snacks on the event day.
