  • Set a registration deadline early enough to finalize seating, dietary requirements and catering quantities. For a seated event, confirm the final headcount at least 3–5 days before the performance.
  • Ask every performer for technical requirements before finalizing the program. Record microphone, mixer, laptop, projector, speaker and lighting needs, then schedule a sound check before doors open.
  • Create the volunteer schedule with named shifts rather than a general request for help. Cover registration, the cash or ticket table, performer reception, refreshments and venue close-down.
  • Check donation handling before invitations go out. Decide where the donation goal will be shown and prepare the ticket or wristband count, cash register supplies and any collection materials before guests arrive.
  • Allow at least 90 minutes for venue setup. Use that time to inspect the room, clear emergency exits, arrange chairs and tables, clean the foyer, tape down extension cords and test microphones and spotlights.
