What you need for a ballet festival
A ballet festival needs more than costumes and a stage. You will need serving equipment for catering, clear signs for visitors, furniture for performers and guests, and practical items for changing and waiting areas. Plan quantities from your confirmed attendance and participating groups, then add a small buffer for cups, plates and refreshments. The shopping list below covers the physical items to buy, hire or bring so setup does not stall on festival day.

Tips
- Count tableware from your registration numbers, then add around 10% extra reusable glasses, coffee cups, plates, forks, knives and spoons. This covers breakages, misplaced items and guests taking a second serving.
- Keep shelf-stable catering separate from chilled drinks and fill the coolers shortly before doors open. Put dietary-requirement items on their own labelled serving platters so volunteers can identify them quickly.
- Plan one clear route from the entrance to registration, seating, changing areas and performance spaces. Prepare wayfinding signs and the welcome sign at least one day before the festival, rather than printing them during setup.
- Provide enough clothes racks and coat racks for every participating group, not just the expected audience. Label each rack before the first dancers arrive so costumes and outerwear do not get mixed together.
- Check ballet barres, mirrors, music equipment and room layout twice: once before the venue is decorated and again after tables, chairs and backdrops are in place. Leave at least 60 minutes for the final equipment test.
Frequently asked questions
- What tableware do I need for a ballet festival?
- For each registered guest and performer, plan one drinking glass, plate, fork, knife and spoon, plus about 10% extra. Add coffee cups, dessert plates and serving utensils according to the catering menu, and provide separate equipment for dietary-requirement dishes.
- How much catering should I buy for a ballet festival?
- Base quantities on confirmed registrations and participating groups, then add a 10% buffer for snacks, bread and non-perishable items. Finalise the shopping list at least 3 days before the event so chilled food and drinks can be ordered separately.
- What do I need for ballet dancers backstage?
- Provide clothes racks, coat racks, labelled changing areas, ballet barres and mirrors where the venue layout allows. Label the racks before setup and check the performer flow at least 60 minutes before the first group arrives.
- When should I prepare signs and programme booklets?
- Finish the welcome, wayfinding and programme signage at least 1 day before the festival. Print programme booklets after the running order and artist information are confirmed, preferably no later than 2 days before doors open.
