Bake sale shopping list

A bake sale needs more than flour, sugar and a table. This shopping list covers the ingredients, baking equipment, serving items and setup supplies needed to bake, display and sell food smoothly. Plan quantities from your expected attendance, then add a small buffer for spills, broken portions and late arrivals. Buy chilled products close to the event, and check that ovens, trays, cooling racks and serving ware are ready before baking day.

Tips

  • Plan ingredients by recipe and expected portions, then buy 10–15% extra for mistakes, damaged items and unexpected demand. Keep recipes and the final shopping list together while shopping.
  • Buy butter, cream, milk and other chilled products no more than 1–2 days before the bake sale. Store them chilled immediately rather than leaving them with dry ingredients.
  • Count serving items against attendance: allow at least 1 plate, fork and drinking glass per person, plus 10% spare. Add cake plates and teaspoons if you are serving sliced cakes with coffee or tea.
  • Provide one complete baking station for each small group, including a mixing bowl, measuring equipment, utensils and a tray or pan. Check ovens and test kitchen equipment at least 1 day beforehand.
  • Set aside 2–3 drinks per person for the first hour, then add more for longer events. Bring coolers if drinks cannot stay refrigerated, and place waste bins where guests can reach them easily.
