Tips
- Print one route map per participant, plus at least 10% extra for late registrations, lost copies and guides. Keep a few spare maps on a clipboard at the meeting point.
- Prepare one name sticker and wristband for every registered participant, then add 5β10 spare sets. Bring enough pens for at least one per registration or check-in position.
- For a one-hour welcome or closing reception, allow two to three drinks per person for the first hour. Chill drinks in coolers in advance and use thermos flasks for coffee or tea.
- Match serving supplies to the headcount: provide one reusable cup, coffee cup, plate, fork, knife and spoon per person, plus 10% extra. Serving platters and tongs should be ready before catering arrives.
- Check power needs before bringing a portable sound system, kettles or LED lamps. Pack extension cords and power strips, and test the microphones at least 30 minutes before the briefing or welcome.
