  • Set a registration deadline at least 10 days before the show. Use the final guest count to confirm dietary requirements, seating, name badges and catering quantities rather than relying on early invitation responses.
  • Keep the judging process separate from event preparation. Confirm the judges before collecting scores, record the results in one controlled file, and limit access to the winners until the awards are presented.
  • Build the program around real timings, including guest arrival, food service, speeches, award categories and presentation changes. Allow at least 5 minutes between major sections for presenters to reach the stage and for slides or microphones to change.
  • Test the full audiovisual setup before guests arrive: laptop, projector, projection screen, speakers, mixer, wireless microphones, microphone stands, extension cords and power strips. Run the presentation from the actual laptop and check every video, name and award category.
