What you need for an agricultural conference

An agricultural conference needs more than chairs and coffee. You will need a reliable registration area, presentation equipment, speaker furniture, catering supplies and enough serving ware for the full programme. Buy or collect the items early, especially microphones, adapters, extension cords and coffee equipment, because these are easy to overlook and difficult to replace on the day. Use the confirmed attendance and catering numbers to set quantities, then add a small buffer for late arrivals and breakage.

Tips

  • Plan seating for every registered participant, then add 5–10% spare chairs. Set aside separate speaker chairs and tables so presenters can keep notes, laptops and water within reach.
  • Prepare one complete presentation kit for each room: laptop, projector, projection screen, clicker, HDMI cables, HDMI adapters and power strips. Test every connection at least 2 hours before the first session.
  • For the registration desk, prepare the printed participant list, name badges and pens at least 1 day before the conference. Keep charging cables and 2–3 power banks nearby for phones used during check-in.
  • For a full conference day, allow roughly 2–3 coffee cups and 2–3 water glasses per person, depending on whether you have washing facilities. Add 10% extra cups, glasses, plates and cutlery for spills, seconds and late arrivals.
  • Set up coffee machines, kettles and thermos flasks before guests arrive, and prepare serving spoons, platters and covered trays for the catering area. Keep blankets available if the venue or outdoor break area may become cold.

Frequently asked questions

What equipment do I need for an agricultural conference?
At minimum, plan for a laptop, projector, projection screen, wireless microphones, a microphone stand and a presentation clicker. Bring HDMI cables, suitable adapters, power strips, extension cords and charging cables, and test them at least 2 hours before the opening session.
How many cups and glasses do I need per conference attendee?
For a full-day conference, allow about 2–3 coffee cups and 2–3 water glasses per person when items cannot be washed between breaks. Add 10% extra to cover breakage, spills and unexpected attendees.
How early should I buy supplies for an agricultural conference?
Buy or reserve technical equipment, furniture and catering supplies at least 2–4 weeks in advance. Finalise disposable quantities 3–5 days before the event, after registration closes and dietary requirements are confirmed.
What should I prepare for conference registration?
Prepare a registration desk, printed participant list and name badges, with the final list printed 1 day before the event. Keep pens, charging cables and 2–3 power banks at the desk if attendees will use phones for check-in or programme information.
