Yoga workshop shopping list

Plan the shopping around the number of registered participants, not your initial guest estimate. Each person needs a yoga mat, while shared props such as blocks, straps, bolsters and blankets can be bought in smaller quantities if the instructor confirms they are optional. Set aside separate supplies for registration, tea and water, seating, sound and cleanup. Fresh groceries and chilled drinks are best purchased shortly before the workshop so they are ready when the venue opens.

Tips

  • Buy or reserve one yoga mat per participant, plus at least 10% extra if your budget and storage allow. Check the instructor’s sequence before deciding how many blocks, straps, bolsters or meditation cushions are needed.
  • Plan two reusable cups or glasses per person when tea and water are both served. For a 20-person workshop, that means about 40 drinking vessels, plus enough teapots, water jugs and serving utensils for one refill.
  • Keep reception supplies separate from catering supplies: prepare one name badge and one registration place per attendee, with a few blank badges for late changes. Put the participant list, welcome sign and card holders at the reception desk before doors open.
  • Check sound and power before buying last-minute replacements. Test the portable speaker and wireless microphone together, and bring the required extension cords and power strips rather than assuming the venue has accessible outlets.
  • Buy fresh groceries after the final registration update, ideally one day before the workshop. This prevents overbuying for dietary requirements and leaves time to chill drinks, prepare tea supplies and check that waste bins and cleaning tools are available.

Frequently asked questions

How many yoga mats do I need for a workshop?
Plan one yoga mat per registered participant. Add roughly 10% extra when possibleβ€”for example, 22 mats for 20 attendeesβ€”to cover damaged, forgotten or unexpectedly added mats.
How many yoga blocks and straps are needed per person?
Ask the instructor whether every participant needs them for the planned practice. If props are shared or optional, start with one block and one strap for every two participants, then adjust after the instructor confirms the session plan.
How much tea and water should I buy for a yoga workshop?
Allow at least 500 ml of water per person for the workshop, plus extra for a longer session or warm room. For tea, prepare one to two cups per person and keep additional hot water available for refills.
When should I buy groceries for a yoga workshop?
Buy shelf-stable catering and serving supplies at least 3–7 days beforehand. Purchase fresh groceries and chill drinks one day before the workshop, after registrations and dietary requirements have been finalized.
