Yoga workshop checklist: what to arrange and when

Use this yoga workshop checklist to keep the planning in the right order, from choosing the date and confirming the instructor to welcoming participants. It covers registration, dietary information, equipment, refreshments and the room setup. The final checks matter: the space needs airing, mats and accessories need to be ready, and the microphone or speaker should be tested before the session starts. Work through the plan early, then leave only fresh food and room preparation for the day itself.

Tips

  • Set the date, programme, instructor and location before opening registration. Participants need the start time, duration, venue details and what to bring before they sign up.
  • Close registration early enough to update the participant list, collect dietary requirements and send confirmations. Aim to print the final list and prepare name badges at least one day before the workshop.
  • Count mats, blocks, straps, bolsters, cushions, blankets and eye pillows against the confirmed attendance. Arrange spares where possible, especially if participants are not expected to bring their own mat.
  • Plan the tea and water station separately from the catering. Allow enough reusable cups or tea glasses for the group, plus water jugs, teapots, plates and cutlery if food is served.
  • Open and ventilate the room before participants arrive, then roll out the mats and test the portable speaker, wireless microphone, timer and extension cords. Keep cables away from walking routes and leave the reception table easy to find.

Frequently asked questions

How far in advance should I organize a yoga workshop?
Set the date, instructor and location at least 4 to 6 weeks ahead. Open registration once the programme and venue details are confirmed, and close it 3 to 5 days before the workshop so you can finalize quantities and the participant list.
How many yoga mats and props do I need for a workshop?
Plan one yoga mat per registered participant, then check the number of blocks, straps, bolsters, meditation cushions, blankets and eye pillows against the class plan. Keep 2 to 3 spare mats if the venue and budget allow, and confirm in advance whether guests bring their own equipment.
When should I send yoga workshop confirmations?
Send a confirmation as soon as each registration is processed, then send one final practical message 2 to 3 days before the workshop. Include the arrival time, location, what to bring and any information about tea, water or dietary requirements.
How early should I arrive to set up a yoga workshop?
Arrive at least 90 minutes before participants are due. Use the first 20 minutes to open and ventilate the room, then set up mats, props, chairs, tables and the reception area; reserve the final 15 minutes for sound and microphone checks.
