Writing camp shopping list

A writing camp needs more than notebooks and pens. You’ll need enough writing materials for every participant, serving items for shared food and drinks, and reliable equipment for workshops and introductions. Prepare the room with tables, chairs, lighting, and power access before participants arrive. This list also covers the items people often forget: spare stationery, thermos flasks, extension cords, and equipment for presenting the programme.

Tips

  • Prepare one notebook and at least one ballpoint pen per participant, then add 10–15% extra for late registrations, lost pens, or damaged supplies.
  • Put pencils, erasers, sharpeners, and markers in each writing area before the camp starts. Sharing one small set between several tables slows down workshop exercises.
  • Check that the number of reusable cups, plates, bowls, mugs, and cutlery sets covers every participant plus supervisors and facilitators; plan for at least 10% spare tableware.
  • Test the laptop, projector, projection screen, portable speaker, extension cords, and power strips together at the venue at least one day beforehand. Bring table lamps if writing areas may be dim.
  • Set out kettles, thermos flasks, coolers, serving platters, serving spoons, cutting boards, and chef’s knives before food and drinks arrive. This prevents a last-minute search through an unfamiliar kitchen.
