Work Week Shopping List
A work week needs more than coffee and printed worksheets. You will need equipment for presentations, furniture for teaching and group work, and enough tableware for breaks and shared meals. Plan supplies around the number of participants, groups and rooms rather than buying one general pile. This list helps you check what must be purchased, collected or brought in before the first session, including items that are often left until setup day.

Tips
- Plan one mug and one drinking glass per participant, then add at least 10% extra for breakage, late arrivals and items left in other rooms. Count plates, cutlery and serving pieces separately if meals or snacks are served.
- Allow two coffee or tea servings per participant for a half-day session and four for a full workday. Arrange coffee machines, kettles and thermos flasks before the first break, not when participants are already waiting.
- Match furniture to the room plan: provide one chair per participant, one working surface per person where worksheets are used, and extra tables for registration, groceries and serving food. Keep at least one spare chair available in each teaching room.
- Check presentation equipment at least one working day ahead. Test every laptop, projector, projection screen and speaker together with the files you will use, and bring the required cables or adapters with the equipment.
- Separate supplies by group before the work week starts. Put worksheets, teaching materials and name badges together for each group, and label trays or boxes so escorts can collect them without opening every package.
Frequently asked questions
- How many mugs and glasses do I need for a work week?
- Start with one mug and one drinking glass per participant, plus 10% extra. For 30 participants, that means at least 33 mugs and 33 glasses if washing facilities are limited.
- How much coffee should I buy for a work week?
- Budget two servings per person for a half-day and four servings per person for a full day. For 25 people attending a full day, plan for about 100 servings, with tea available separately.
- When should I test the projector and speakers?
- Test the complete setup at least one working day before the work week. Repeat a short sound and image check when the room is arranged, because moving tables or screens can affect cables and visibility.
- How many chairs and work surfaces are needed?
- Provide one chair per participant and one desk or table place per person for sessions using worksheets. Add at least one spare chair per room and separate tables for registration, food and presentation equipment.
