Tips

Plan one laptop and one charger per participant, plus at least one spare setup if possible. Charge all devices before the workshop and check that the required software and user accounts work.
Allow one power strip for roughly four to six workstations, with extension cords long enough to reach every table safely. Bring spare HDMI and Ethernet cables rather than relying on a single connection.
Test the Wi-Fi, router, network switch, and Ethernet cables with all workstations at least one day before the session. A connection that works for two laptops may slow down when the whole group joins.
Keep the presentation setup separate from the participant tables: prepare the projector, screen, HDMI cable, presentation table, and clicker together, then run a full slide test before doors open.
