  • Confirm the route and start and finish locations before opening registration. Participants need the correct meeting point, distance information and arrival instructions from the start.
  • Arrange permits, notifications and the traffic plan early enough to revise them if the route changes. Keep the safety plan, volunteer contacts and emergency instructions together in one accessible file.
  • Scout the route before the event and check it again close to the start. Mark difficult sections, access points and collection areas, then bundle route signs and maps by section so volunteers can deploy them quickly.
  • Assign volunteers to registration, route support, waste collection, first aid or safety, transport and clean-up. Send each person their shift, meeting point and equipment list at least several days beforehand.
  • Do not leave refreshments and equipment until the last day. Chill drinks in advance, charge laptops and radios, test megaphones and lights, and check bikes, helmets, pumps, spare tubes and tool kits before volunteers arrive.
