Walking event shopping list
A walking event needs more than route markers and participant numbers. You will need equipment for registration, route control, communication, water, weather changes and the finish area. Buy or hire items according to your participant count, route length and volunteer schedule, then add a small reserve for lost, damaged or wet supplies. Check power, signage and first-aid needs several days before the event rather than discovering gaps during setup.

Tips
- Plan route signs and directional arrows by route section, not just by participant count. Add spare markers and signs for crossings, confusing turns and any location where a sign could be moved or hidden.
- Prepare registration materials for peak arrival, not the average pace. Keep bib numbers, straps, clipboards, tablets and card terminals together, with at least one charged phone or power bank at each active registration point.
- Give every route volunteer a clear visibility and communication setup. Reflective vests, walkie-talkies, cones and a megaphone are easy to overlook when volunteers are spread across several crossing points.
- Estimate water by participant and refill access. Use water tanks and coolers at planned points, and arrange transport or backup storage so supplies do not depend on one vehicle or one power outlet.
- Protect the finish area from weather and last-minute delays. Party tents, folding tables, umbrellas and dry storage keep medals, ribbons, documents and electronics usable if rain starts before the final walkers arrive.
Frequently asked questions
- What do I need for a walking event?
- You need route and directional signs, cones, reflective vests, bib numbers, straps, timing and counting equipment, communication devices, water storage, registration equipment and finish medals. The exact quantities depend on the number of participants, route length and number of volunteers.
- How much water should I buy for a walking event?
- Use the expected participant count, weather forecast and number of water points to calculate the amount. Plan a refill or reserve supply rather than ordering only the minimum, especially when the route has no reliable water source.
- How many route signs do I need for a walking event?
- Count every turn, crossing, start and finish approach, then add signs for long straight sections where walkers may question the route. Prepare spare signs and markers before setup, because missing or damaged signs are difficult to replace once the event is underway.
- When should I prepare the walking event shopping list?
- Finalize the list at least 2 to 3 weeks before the event for printed bibs, medals, hired furniture and communication equipment. Recheck quantities, batteries, charging cables and weather protection 2 to 3 days before setup.
