What you need for a group walk

A group walk needs more than drinks and a printed route. Pack supplies for the starting point, checkpoints, lunch service and unexpected changes in weather or route conditions. Plan quantities around the number of participants, then add a small reserve for volunteers and late arrivals. Keep signs, safety equipment and communication tools together so they can be handed out quickly before the walk starts.

Tips

  • Allow two to three cups of water per person for the walk, plus extra for volunteers at checkpoints. Use water dispensers or jugs at the start and refill them before departure.
  • Prepare one lunch pack per registered participant and add 5–10% extra for volunteers, late registrations or damaged packs. Keep food covered and separate any options for dietary requirements.
  • Bring route arrows and marker tape for every turn, junction and checkpoint. Pack waterproof route covers so printed maps and signs remain readable if rain starts.
  • Give each checkpoint a clear set of safety equipment, including a safety vest and whistle for the volunteer. Walkie-talkies and fully charged power banks are useful when mobile coverage or battery life is uncertain.
  • Set aside enough cups, mugs, plates and cutlery for the full group, then add around 10% spare. Pack coolers, ice packs, thermos flasks and extension cords before leaving for the starting location.

Frequently asked questions

How much water do I need for a group walk?
Plan two to three cups of water per person for the first part of the walk, with more available if it is warm or the route is long. Add at least 10% extra for volunteers and unexpected delays.
How many lunch packs should I prepare for a walk?
Prepare one lunch pack for every registered participant and add 5–10% extra. Confirm dietary requirements before shopping so special meals are ready rather than improvised on the day.
What safety equipment is needed for a group walk?
Provide safety vests and whistles for checkpoint volunteers, and use traffic cones or route arrows where walkers need clear guidance. Check all equipment at least one day before the walk.
When should I print the route maps and participant list?
Print them 1–2 days before the walk, after registrations and route details are final. Keep waterproof route covers ready and bring a few spare copies for volunteers and late arrivals.
