  • Set the match format before opening registration. The number of teams, courts and available hours determines how many matches you can schedule and how long each round can last.
  • Check every team’s details before publishing the draw. Confirm names, contact information and any dietary requirements early enough to adjust catering and send accurate team information.
  • Count equipment by court, not only in total. Each active court needs a net, poles, balls, scoring supplies and a referee position, with spare valve parts and a pump available for match-day problems.
  • Confirm people as well as equipment. Have referees, an EHBO responder and enough volunteers assigned before publishing the schedule, so registration, scoring and court changes are covered throughout the day.
  • Finish practical preparation on the day before the tournament where possible. Check the weather, confirm the venue, complete shopping and refrigerate drinks so event-day work is limited to setup and final checks.
